Call for Abstracts Guidelines
Members of the Society and others are invited to submit abstracts to be considered for oral presentation at the HSANZ (NZ) Annual Branch Meeting to be held in The Claudelands Centre, Hamilton on 16-17 March 2014.
The closing date for abstract submission is 5pm Friday 20 February 2014.
Abstracts will be assessed and authors of the best submitted abstracts will be invited to present their work in oral or poster form, during the HSANZ NZ Branch Meeting.
Medical – Oral Presentations Only
Please submit your abstract via the online process and indicate that your presentation is for the Medical
stream.

Submission Regulations
Please use the abstract template provided to ensure that the abstract contains the following:
1. Title
2. Authors/presenters
3. Institution, city, country* of all authors/presenters
Conflicts of interest: Each presenter will be asked to disclose any conflicts of interest.
Condition of submission: If accepted, the abstract/s will be published in the conference handbook.
Submission Information
1. All abstracts must be submitted using the abstract template provided. This is a Microsoft Word file.
2. Please save this template to your PC’s hard drive and use it to prepare your abstract. Your completed abstract form can be submitted by following the instructions provided online.
3. Please complete one form for each abstract submitted.
4. Please use Arial font in size 12 point.
5. The abstract should be written in English and be no longer than 250 words text (excluding title, authors and affiliations, keywords and references).
6. Text should be single spaced with unjustified margins.

2. Follow the “Upload Your HSANZ Abstract” instructions when your abstract is completed and ready to send
Receipt of abstracts submitted online will be acknowledged immediately after you submit via the upload form.

Accompanying Information
1. Details of the presenting author: Last name, first name, department, institution, address, telephone number, email address.
2. Indicate which stream you wish to present to: Medical or Nursing.
3. Select your presentation format: Oral or Poster (Nurses only).
Standard audiovisual equipment will be available: Laptop, data projector and microphone.
All presenters are required to register for the conference, for at least the day of their presentation.

Medical – Oral Presentations Only

Oral Presentations:
- Presenters will be allocated 15 minutes: 10 minute presentation, 5 minute discussion time.
- Powerpoint is the preferred medium for presentations. Other presentation facilities will be available by arrangement.
Poster Presentations:
- Poster presentations will be on display for the entire conference.
- Poster size should be A0 portrait (1189mm high x 841mm wide). The poster panels will be Velcro receptive and measure 2.3m high by 1.2m wide.
- Submitters of selected posters will be offered the opportunity to participate in an oral poster synopsis session.
Submission Regulations
Please use the abstract template provided to ensure that the abstract contains the following:
1. Title
- Written in upper case and bold.
2. Authors/presenters
- Written in sentence case
- Initials and then last name of each author
- Title, degrees and awards should not be included
- The name of the presenter should be underlined and indicated by an asterisk.
3. Institution, city, country* of all authors/presenters
- Written in sentence case and italics
- *Authors from outside of New Zealand are requested to include country.
- Written in sentence case
- Tables and figures are permitted
- Should include the following headings, in bold:
Background: The study’s objectives (unless given in the title)
Methods: A brief statement of the methods used, if pertinent
Results: A summary of the results
Conclusion: Reached and significance – it is not satisfactory to state, “results will be discussed” or “data will be presented” - Abbreviations may be used but must be spelled out in full at the first mention followed by the abbreviation in parentheses.
